Start with the purpose

What changes the final result
The displayed mid-market or official reference rate is only one part of the calculation. A bank or payment provider may apply a percentage spread, a fixed fee, an ATM fee, an intermediary charge or a different processing date. Always compare the amount received, not only the headline rate.
How to document the calculation
- Record the starting and target currencies.
- Keep the requested date and the provider's actual publication date.
- Save the reference rate with enough decimal precision.
- List each fee separately and state whether it is deducted before or after conversion.
- Keep the provider receipt when the result is used for reimbursement, accounting or tax reporting.
Common mistake
Reversing a displayed rate by reading it in the wrong direction is a frequent error. If one unit of A equals X units of B, the reverse uses the reciprocal, subject to display rounding.
